Administrative Assistant

Do you enjoy working with others and managing many essential tasks and projects? If so, this role is for you! The Administrative Assistant is responsible for many of the administrative duties of the tax and wealth management functions of the firm. This role is an integral part of the tax and administrative team and will work closely with the managing partners to facilitate the effective operation of tax and firm processes.

This is an ideal position for a detail-oriented, motivated individual who is passionate about seeing clients succeed in a fast-paced, collaborative environment. A strong ability to be flexible and easily navigate competing tasks, independently stay on top of to-do lists and meet tight deadlines will ensure your success in this multi-faceted role.

Essential Duties & Responsibilities

  • Collect, scan in and log client documents
  • Assist with assembly and delivery of tax returns, financials, and other documents E-file client tax returns
  • E-file client tax returns
  • Act as backup to front desk
  • Assist in the preparation of annual client organizer & questionnaire
  • Work with tax team to establish forms, procedures, and guidelines to promote the efficient operation of the tax workflow
  • Manage and maintain client dashboard and other office programs as needed
  • Maintain favorable relationships and communications with the Firm’s clients and vendors
  • Assist with the onboarding of new client relationships
  • Prepare and disburse invoices to clients
  • Resolve payment discrepancies and disputes on behalf of the company
  • Maintain accurate financial record of all receivable transactions, verifications, etc.
  • Attend staff meetings and assemble and distribute meeting minutes
  • Learn, use and manage various software and online programs operated by the firm


  • A minimum of five years proven experience (financial experience preferred)
  • College degree (or equivalent work experience preferred)
  • Knowledge of Lacerte and QuickBooks® is a plus
  • Extreme attention to detail
